ECMI BYLAWS

INSTITUTIONAL MEMBERS OF ECMI

a. The Assembly of Institutional Members is a body of ECMI that has the right to give advice and to inspect the ECMI’s accounts and documents.
b. All academic institutions or companies wishing to become part of Assembly of Institutional Members should provide appropriate evidence of their nature and activities.
c. The membership shall not be effective until confirmed by the Executive Committee of ECMI and the relevant fees have been paid.
d. The members of the Assembly of Institutional Members are called the Institutional Members of ECMI.
e. In any cases of disagreement related to membership, the final decision rests with the Council.

THE COUNCIL

  1. Composition
    a. The Council members are selected from individuals that are affiliated with at least one ECMI Institutional Member.
    b. The Council members are appointed by the Institutional Members of ECMI.
    c. The Council members serve for four years and may be re-elected but would not normally serve for more than two consecutive terms.
  2. Election
    a. ECMI Institutional Members coming from the same country should promote fair elections among themselves, and inform the Council about the procedure, to fill a vacancy in the Council.
    b. A country hosting N ECMI Institutional Members has the right to appoint M ECMI Council members according to the following rules: if N is less than 5, M is equal to 1; if N is greater or equal to 5 and less than 10, M is equal to 2; else, M is equal to 3.
    c. Replacement of members who retire during their term of office will be done by the Institutional Members of ECMI according to previous points.
    d. The non-academic ECMI Institutional Members have the right to appoint one additional ECMI Council member.
    e. In any cases of disagreement related to elections, the final decision rests with the Council. The Council may ask the Assembly of Institutional Members for a deciding vote.

ECMI COMMITTEES

  1. Composition and scope
    a. An ECMI Committee may be established by the ECMI Council for the purpose of promoting a program of activities consistent with the objectives of ECMI.
    b. The conduct and activities of an ECMI Committee shall be governed by specific rules of procedure, final
    approval rests with the ECMI Council, and shall operate within the Statutes and bylaws of ECMI.
    c. At present the ECMI Committees are the ECMI Educational Committee and the ECMI Research and Innovation Committee.
  2. General rules and governance
    a. An ECMI Committee shall have a Chairperson and may have a Vice-Chairperson and a Secretary. The Chairperson shall preside at the meetings of the committee, coordinate the annual report to the ECMI Council, represent the ECMI Committee at the ECMI Council meetings and have a (non-voting) position in the ECMI Executive Committee.
    b. The term of office for Chairperson is three years.
  3. Funding
    a. ECMI Committees may request funds for activities in the upcoming year, up to a maximum value defined by the ECMI Council.
    b. Funding guidelines shall be defined by the ECMI Council and all the funds should be requested under those guidelines.
